Who we are and how to contact us

CONGO DANCE CIC is the controller of the personal information described in this notice. We are a Community Interest Company registered in England and Wales under company number 17495020, with registered office at 26 Vousden Grove, London, England, SE28 0PG.

Information we collect

The information we collect depends on how you choose to use the website.

  • Contact enquiries: name, email address, organisation (if supplied), selected area of interest, message and the date of your enquiry.
  • Reference images: the image file and its basic file information when you choose to upload a JPG, PNG or WEBP image with an enquiry.
  • Event reminders: email address, the selected programme item and the date on which you gave reminder consent.
  • Optional website analytics: if you accept analytics cookies, limited technical and usage information such as pages viewed and device/browser information. We use Umami analytics to understand aggregate site use.

Why we use your information and our lawful basis

We use personal information only where there is a valid reason under UK data-protection law.

  • To read, manage and reply to an enquiry, including any reference image: our legitimate interests in running CongoDance and responding to a request you have made.
  • To send an event update or reminder that you have asked for: your consent. You can withdraw it at any time by emailing us.
  • To maintain records, prevent misuse, protect the website and meet legal or regulatory duties: our legitimate interests and, where applicable, legal obligations.
  • To understand how the website performs and improve its content using optional analytics: your cookie consent. You can change this choice at any time in Cookie Settings.

Who we share information with

Access is limited to authorised CongoDance team members and trusted service providers who help us operate the website, host the database and uploaded files, provide email delivery, or provide website analytics. They may only process information for the services they provide to us and subject to appropriate safeguards.

We do not sell personal information. We do not share your contact details with partners, funders, artists or other third parties for their own marketing. We may share information where required by law or where necessary to establish, exercise or defend legal claims.

International transfers

Some of our website and technology providers may process information outside the United Kingdom. Where this happens, we will use an adequacy decision or appropriate safeguards recognised under UK data-protection law, such as approved contractual protections. You can ask us for more information about the relevant safeguards by emailing contact@congodance.com.

How long we keep information

We keep personal information only for as long as it is needed for the purpose for which it was collected, then securely delete or anonymise it. Our website is configured to run a monthly automated retention review, with a non-personal audit record of each review.

  • Contact enquiries: normally up to 24 months after the last meaningful contact, unless a longer period is needed for an ongoing project, complaint or legal obligation.
  • Reference images: normally up to 12 months after the enquiry is closed, or sooner if they are no longer needed.
  • Event reminders: until the relevant event and follow-up period have passed, and no longer than 90 days after the event unless you ask us to keep supporting information for another purpose.
  • Website analytics: for the period set by our website-platform analytics service, and only for website measurement and improvement.

Your rights and choices

Subject to the conditions in data-protection law, you may ask us to access, correct, erase or restrict the use of your personal information. You may also ask for a portable copy of information you provided to us where that right applies.

You have the right to object to processing based on our legitimate interests. For event reminders, you can withdraw consent at any time using the unsubscribe link in a reminder email or by emailing contact@congodance.com with enough information for us to identify your request. We will not use your email for further reminder messages once your withdrawal has been processed.

We do not make decisions about you based solely on automated processing or profiling that have legal or similarly significant effects.

Complaints and changes to this notice

Please contact us first if you have a concern about how we use personal information. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority. Details are available at ico.org.uk/make-a-complaint.

We may update this notice when our services, technology or legal obligations change. The latest version will always be published on this page with its update date.
